Submitting Payroll Files

One of the most important functions for our plan coordinators is the submission of their payroll information and Contribution Billing Form, as this is how the participants’ funds are directed into their accounts.

Payroll Information

    Investment Choice Plans - Investment Choice Plans report their enrollments, eligible wages and contribution information in their payroll files using either the NADART Template or extracting the information from their payroll provider.  For additional information, please visit our Preparing the NADART Template Page.

    Classic Plans - Classic Plans report thier enrollments, eligible wages and contribution information on the Wage Reporting Form (WRF).  Classic Plans may also report this information using the NADART Template or by extracting the information from their payroll provider.  For additional information, please visit our Preparing the NADART Template Page.

The information you report on the WRF (which is always due ten days after the close of the calendar quarter) or your payroll file is used to calculate the contributions and fees billed on your CBF. This will allow the employee contributions sent to your Trust Account to be allocated to the correct employee accounts. If your information is incorrect on the WRF or your payroll file, the CBF will be inaccurate and the participants will not be credited the right amount of contributions. These errors would then be reflected on the participant statements.

    Deposits - should be sent immediately following the submission of your payroll files or WRF. NADART Deposit Tickets (PDF) should be completed and submitted with your regular deposits of employee contributions.  Electronic submission (PDF) of deposits is also available.

Classic Plans can submit their WRF by mail or fax to the following:

SafeLink

Both Investment Choice and Classic Plans who use electronic payroll files may submit them to NADART through our SafeLink system. The system is secure, confidential, and easy-to-use. Plus, because it is Web-based, it is compatible with all systems through Netscape, Internet Explorer and AOL browsers. Additionally, users no longer have to worry about software incompatibility or slow connection times.

Contribution Billing Form (CBF)

Fees and Employer Contributions are billed on a quarterly basis (and thus accrue on a quarterly basis) based upon the information provided in your payroll files or WRF.  The CBF details employer and employee contributions made to your Trust Account. When you receive the CBF, you are billed for employer contributions and fees and any employee contributions not yet deposited to your Trust Account. Your payments are due 30 days after the close of the calendar quarter.
